Administrative Assistant | Beirut

Education level:
Bachelor Degree in Business Administration

Competencies and skills:
Ability to plan, manage and follow up on assignments
Ability to multi-task, work under pressure and meet deadlines
Administrative skills and time management skills
Strong verbal and written communication skills
Strong interpersonal skills

Effective communication skills in Arabic, English or French

Computer Knowledge:
Proficiency with Microsoft Office Applications (Word, Excel, PowerPoint and Outlook) along with various CRM software

Duties & responsibilities:
• Maintain and update the Medical Representatives’ customer lists on the CRM system
• Follow up with the sales managers/supervisors to achieve the tasks agreed on before reaching the next meeting
• Establishes file registration and recording system for incoming/outgoing memos, letters and other forms of correspondence.

• Follow up on any meetings or necessary business deadlines and report any occurring problem
• Keep a detailed record and monitor the proactive reporting on the CRM system
• Assist in the preparation of regularly scheduled reports for the weekly meetings
• Write letters and emails to the medical sales team on behalf of the general manager
• Plan and organize the meeting’s topics by priority
• Take accurate minutes of meetings
• Organize and schedule meetings and appointments
• Performs other related duties as assigned by the general manager
