Receptionist | Beirut
Department/Location: Administration department
Reporting to: The upper Management & All Departments
Location: Naher El Mot
Schedule: Monday to Friday from 08:00 AM till 05:00 AM and Saturday from 08:00 AM till 02:00 PM
General Purpose of the Position:
Performing personalized administrative duties for senior management.
Responsible for handle a variety of administrative support tasks, including answering phones, receiving visitors, preparing meeting and training rooms, sorting and distributing emails.
General tasks:
• Greet and welcome guests as soon as they arrive at the office
• Answer, screen and forward incoming phone calls
• Ensure reception area is tidy and presentable, with all necessary stationery and material (e.
g.
pens, forms and brochures)
• Shadowing the Aftersales & maintenance team
• Receive, sort and distribute daily mail/deliveries
• Diary management and management of meeting rooms
• Possibly handling event coordination, both internally and externally
• Handling queries and complaints via phone, email and general correspondence
• Maintaining office services as required (such as cleaners and maintenance companies)
• Receiving and dispatching deliveries
• Supporting the Finance & Accounting team in administrative tasks when needed
• Taking and ensuring messages are passed to the appropriate staff member on a timely basis
• Update calendars and schedule meetings
• Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Skills and Abilities Required:
• Organizational skills
• Excellent communication skills
• Strong customer service skills
• Able to work independently.
Must be detail oriented and organized.
• Able to work on many different projects at one time.
• Conform with and abide by all regulations, policies, work procedures, and instructions and work under stress.
• Multitasking and time-management skills, with the ability to prioritize tasks
Education and Experience Required:
Bachelor's degree in Business Administration or the equivalent experience plus 3 years of related experience.
High school degree; additional certification in Office Management is a plus
High computer skills
English and Arabic literate
